Vehis is a rapidly growing company in the automotive sector, specializing in the sale of new and used cars together with additional services such as vehicle purchase financing in various models, insurance, servicing, and post-sale support. The company’s goal is to deliver modern solutions that respond to the needs of individual and business customers, ensuring convenience, full security, and minimal formalities at every stage of the purchase process.

In practice, Vehis needed a tool that would enable easy management of offers and sales processes in one place, improve conversion, and increase the efficiency of sales teams and dealers. In response to these needs, SellCar was created as a car sales platform supporting vehicle offers, reservations, and advertisement management. The software supports the sale of new and used cars, as well as integration with leasing, rental, and credit processes. In this way, SellCar functions as a management system for a modern automotive business, supporting both online offer presentation and dealership operations.

Car sales platform

The SellCar project was intended to create a comprehensive solution for handling processes related to quotation, reservations, and car sales together with additional services. The key objective was to design a clear website and web panel that would simplify offer management, enable fast publication of advertisements, and provide customers with convenient online browsing of cars without leaving home.

The project included integration with existing Vehis tools in order to create a consistent ecosystem in one place, as well as modules supporting administrative, dealer, and logistics activities across different locations in the sales network. SellCar was designed to support the entire sales process: from presenting the offer, through registration of customer interest and interaction with the customer, to preparation of contracts, support for invoicing, and transfer of the case to leasing or rental processes, all the way to the vehicle handover stage.

The project showed that digital transformation of car sales processes in the automotive sector can become a key factor of market success, increasing the effectiveness of activities and strengthening the company’s competitive advantage. In practical terms, SellCar supports the daily work of a growing car dealership network and gives dealers one place to manage offers, customers, and sales-related activities.

Project goals

Create an intuitive web panel and website for managing car offers, advertisements, and online presentation of cars.

Enable customers to browse cars quickly and make reservations online, including leasing offers, with minimal formalities and full security.

Ensure integration of the system with other Vehis products and tools in order to build a consistent ecosystem covering sales, service, and vehicle financing.

Ensure scalability and flexibility of the system, allowing it to support a growing number of offers, users, vehicles, and locations, with the possibility of further development in reports and analytics.

Dealer management system – web panel for car dealership

The web panel was a key part of the SellCar project, providing complete control over offers and the sales process in one place. Designed for ease of use, it offered dedicated functionalities for different user groups: administrators, sales representatives, and dealers. Administrators could quickly publish new advertisements and offers using bulk data import, which significantly reduced the need for manual data entry. Dealers gained tools to manage their own portfolio of cars in real time, including updating pricing and offer parameters in response to market changes in the automotive sector.

For customers, a clear presentation of cars was prepared, with advanced search and filtering by criteria such as model, year, fuel type, availability, price, and financing method. Thanks to this, customers could find the required car faster and reserve it online, while sales representatives could smoothly lead the purchase process. This improved the quality of the online sales journey and strengthened the connection between the website, the sales team, and dealership operations.

The panel also supports automatic photo processing, enabling fast compression and publication of materials without noticeable loss of quality, improving website performance and the comfort of browsing advertisements. In addition, a pricing module and dynamic price updates were implemented, along with integration with leasing and insurance processes and links with documents, contracts, invoices, and settlements, which improved cooperation with accounting. This means the platform works as a practical dealer management system, management software, and car dealership management software, helping dealers and administrators easily manage listings, pricing, and operational details in one environment.

Challenges

The implementation of the SellCar project involved several important challenges. One of them was the optimization of a large number of high-resolution photos uploaded by dealers. For this reason, automatic compression and quality control were necessary to ensure fast loading of offers and advertisements on the market.

At the same time, as the number of cars, vehicles, and offers increased, it was necessary to ensure scalability so that the system could operate efficiently across different locations, with growing customer traffic and a larger number of interactions. This required optimization of search, filtering of data, consistency of information, and efficient reports and analytics so that administrators could gain insight into the effectiveness of publications, customer interest, generated leads, and the impact on conversion.

Another challenge was integration with other Vehis systems in order to maintain consistency across the sales, service, and financing process and ensure security and stability throughout the customer service cycle. As the number of vehicles, offers, and users grew, the software had to remain efficient, scalable, and reliable for both customers and dealers. This is especially important in a growing car dealership and automotive business, where many users need continuous access to current offer data, vehicle data, availability, and pricing.
